The Opportunity

As the Sr. Manager of Billing Administration, you will oversee the critical e-Billing, Service Desk, and Billing Operations Support functions for a large, dynamic legal billing department. This is a high-visibility leadership role responsible for managing the performance of a consolidated team to ensure service delivery standards are not only met but exceeded. You will drive strategic initiatives, identify automation opportunities, and execute process improvement solutions that directly impact the firm s overall billing effectiveness.

The Location

This position offers significant flexibility, with the ability to sit in any of the firm's U.S. offices. The role utilizes a hybrid work schedule, allowing for a balance of in-office collaboration and remote productivity.

What You Will Do

  • Manage a consolidated Billing Administrative Team, including e-Billing, Accounting Service Desk, Matter Creation, and Rates Administration.
  • Evaluate individual performance, prepare annual reviews, and monitor team metrics to ensure high-quality, timely client support.
  • Create an environment of continual enhancement by evaluating business practices, implementing automation, and utilizing data analysis to resolve complex billing problems.
  • Manage networked tracking systems for call tickets, ensure accurate billing rate entry, and work closely with 3rd party vendors to resolve technical issues.
  • Serve as a subject matter expert for internal teams such as Finance, IT, and Billing, while managing relationships with external stakeholders and timekeepers.

90-Day Success Roadmap

  • First 30 Days: Conduct a comprehensive audit of the billing lifecycle and service desk metrics while building relationships with key stakeholders in Finance and IT to align on performance expectations.
  • First 60 Days: Identify and execute immediate process improvements and automation opportunities within the billing systems (Elite/Aderant) to eliminate current bottlenecks and improve team efficiency.
  • First 90 Days: Establish long-term resource schedules and data-driven reporting structures, transitioning into a subject matter expert role that drives the firm s strategic billing initiatives and technical innovation.

Who You Are

  • 8+ years in an accounting or billing environment, preferably within a law firm or professional services.
  • 2+ years of experience managing second-tier managers in a high-traffic legal billing or customer service setting.
  • Familiarity with legal billing systems (Elite or Aderant), e-billing platforms, and service desk tracking systems.
  • Bachelor s Degree in Business, Accounting, or Finance is required; a Master s Degree is preferred.
  • Professional customer service certifications (SDI, HDI, or ITIL) are highly desired.
