The Opportunity

We are seeking a Contingent Legal Executive Assistant for a 3-6 month (could lead to permanent employment) to provide immediate, high-level assistance. In this critical role, you will support lawyers by managing the daily functions of an attorney's practice, allowing them to concentrate on developing and sustaining their practice. You will serve as an executive-level assistant, creating connections and ensuring meetings and materials are accurate to deliver against the priorities of the practice and its clients.

The Location

This position is located in the Boston office. The schedule is Monday through Friday, 9:00 AM to 5:30 PM ET. The role requires regular in-office presence to best support the legal team.

What You Will Do

  • Provide support and management of the attorney s projects ensuring deadlines are met and tasks are completed efficiently.
  • Serve as a liaison between attorneys, clients, and other internal departments, handling inquiries and relaying messages accurately.
  • Delegate assignments as necessary to Legal Support Assistants ensuring timely and accurate completion.
  • Draft, proofread, and finalize legal documents, correspondence, and presentations on behalf of the attorney.
  • Oversee billing matters including all approval forms, collaboration correspondence, and ensuring prebills are processed accurately and timely.
  • Manage the attorney s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries.

Who You Are

  • You have a minimum of five years of administrative experience in a corporate or legal environment providing support to upper-level leadership.
  • You possess expert experience with technology, research tools, case management software, and standard applications including Word, PowerPoint, and Excel.
  • You are skilled in adapting to application upgrades and the use of AI-Powered Tools for document production, review, and case research.
  • You exhibit the utmost professionalism and discretion regarding confidential information and sensitive legal matters.
  • You have a proven ability to convey complex information clearly and concisely, both in writing and verbally.
The ideal candidate takes initiative to enhance existing abilities and learn additional skills while demonstrating adaptability and a commitment to continual development. You are a process-driven professional with excellent time management who can prioritize tasks and multitask efficiently in a fast-paced setting. You work well under pressure, stay positive, and are capable of working effectively in a demanding environment. Educational background ideally includes a preferred 4-year Bachelor's Degree in legal studies, business administration, or a related field, though a High School diploma or GED is the minimum requirement.

Flexibility & Work-Life Integration

  • The role provides some flexibility to work from home upon approval, empowering you to manage your professional and personal responsibilities.
  • Standard hours are Monday through Friday from 9:00 AM to 5:30 PM ET, though overtime will be required at times.
  • Employees engage in primarily sedentary work, working at a computer for extended periods while utilizing digital and virtual collaboration tools like Zoom and Teams.
